Collecting Sizes in Your Team: A Step-by-Step Guide
In short
For team clothing you do not need to know all sizes right away – for the first step, the approximate number of people and products is enough. You can submit the exact sizes shortly before approval. The most efficient way is a simple spreadsheet or a short form that you send around internally.
When do the sizes have to be settled?
At macherkleidung.de you can submit an enquiry and receive a guide price without all sizes being settled yet. The sizes only become binding before the written approval. This gives you time to collect internally, clarify questions and involve new colleagues. Important: as soon as the approval is given, we start production – after that, sizes can no longer be changed.
How to collect sizes efficiently in your team
The quickest way is a simple list or spreadsheet: first name, surname or initials, product type and size. Send this template by email or chat to everyone involved and give a clear deadline. Point out which model is being ordered and how the cut fits – for unisex cuts it is worth mentioning that women often choose one size smaller. If you have more than 20 people, it is worth taking a sample first and estimating common sizes, so you can prioritise your reminders.
Which information for each person?
For each person you need: the size for the respective product (e.g. S, M, L, XL), and for work trousers also waist size and leg length. If you order several products – e.g. T-shirt and hoodie – ask for each product separately, as sizes can differ from product to product. Also briefly ask whether anyone is unsure and needs a size chart – that saves later corrections.
Combining size mix and tiers cleverly
The tiered prices always apply to the total quantity of all items in an enquiry – so all sizes and products count together. If you are sure of ten people but five have not replied yet, it can be worth waiting for the complete list to reach the next tier. From 25 pieces the unit price already drops noticeably, and again from 50 and 100 pieces. If you really cannot get all sizes in time, you can factor in a buffer and add the missing pieces in a later reorder.

Frequently asked questions
What do we do if a colleague has not reported a size by the time of approval?
You have two options: you order a common size for that person based on your own estimate, or you skip them for now and place a reorder (minimum quantity 10 pieces) for individual items later. It is advisable to set a clear deadline internally so that such gaps do not become the norm.
Can we still change sizes after the enquiry?
Yes, sizes can be adjusted until the written approval. Once you have given the approval and production has started, changes are no longer possible. Use the time between enquiry and approval actively to clarify all sizes.
Is an enquiry worthwhile if we do not have all sizes yet?
Absolutely. An early enquiry shows you the guide price, the production schedule and the delivery time. You can then plan internally, collect sizes and only give the approval once everything is complete. This way you avoid time pressure and costly express surcharges.
